HRFlix is committed to protecting the privacy and personal data of visitors, users, client organisations, subscribers, administrators, HR professionals, and other individuals who access or interact with the HRFlix website, platform, services, playbooks, templates, tools, videos, resources, communities, forms, and related offerings.

1. Introduction

This Privacy Policy explains how we collect, use, store, disclose, protect, and otherwise process personal data when you visit our website, request a demo, request a quote, subscribe to our platform, use our resources, join our community, receive communications from us, or otherwise engage with HRFlix.


For the purpose of this Policy, “HRFlix”, “we”, “us”, or “our” refers to HRFlix, a digital HR knowledge, learning, playbook, and implementation platform operated by Workforce Group, unless and until a separate legal entity is formally established for HRFlix.


Where a separate HRFlix legal entity is established in the future, references to HRFlix may be updated to reflect that entity.
By accessing or using HRFlix, you acknowledge that you have read and understood this Privacy Policy.

2. Scope of This Policy

This Privacy Policy applies to:

  1. The HRFlix website.
  2. HRFlix platform access and user accounts.
  3. Demo requests, quote requests, contact forms, and subscription enquiries.
  4. HRFlix playbooks, tools, templates, videos, implementation resources, and communities.
  5. Marketing communications, newsletters, webinars, events, and customer engagement activities.
  6. Any other service, platform, form, feature, or communication channel operated by or on behalf of HRFlix.

This Policy does not apply to third party websites, platforms, tools, payment processors, learning management systems, or external services that are not controlled by HRFlix, even where such services are linked from our website or used to support our services. Those third parties may have their own privacy policies and terms.

3. Personal Data We May Collect

Depending on how you interact with HRFlix, we may collect the following categories of personal data.
3.1. Information You Provide Directly

We may collect information you provide when you complete forms, request a quote, request a demo, subscribe to updates, contact us, create an account, participate in a community, or otherwise communicate with us.

This may include:

  1. Full name.
  2. Work email address.
  3. Phone number.
  4. Job title.
  5. Organisation name.
  6. Country or location.
  7. Department or function.
  8. Organisation size.
  9. HR priorities, challenges, requirements, or areas of interest.
  10. Subscription or access preferences.
  11. Messages, questions, comments, or support requests.
  12. Marketing preferences and consent choices.
3.2. Account and Platform Information

Where HRFlix provides user accounts, client portals, learning access, community access, or organisation licences, we may collect:

  1. Username and login details.
  2. Assigned user role.
  3. Organisation administrator details.
  4. Access rights and licence category.
  5. Course, playbook, template, or resource access history.
  6. Video or walkthrough engagement.
  7. Learning progress, completion status, or activity logs.
  8. Community posts, comments, replies, uploaded materials, or other user generated content.
  9. Account status, subscription status, and support history.
3.3. Organisation and Subscription Information

For organisational access, we may collect:

  1. Organisation name and address.
  2. Business sector or industry.
  3. Number of authorised users.
  4. Billing contact details.
  5. Invoice and payment related records.
  6. Subscription package, duration, renewal status, and usage information.
  7. Internal HR priorities or implementation needs shared with us.
  8. Information required to configure, customise, or support access for your organisation.
3.4. Payment and Billing Information

Where payments are made or invoices are issued, we may collect billing and transaction related information such as billing name, organisation, billing address, invoice details, tax information, transaction reference, subscription amount, and payment confirmation.

Where payment is processed through a third party payment provider, we do not ordinarily store full card details. Payment providers process such information in line with their own privacy and security policies.

3.5. Technical and Usage Information

When you visit or use HRFlix, we may automatically collect certain technical and usage information, including:

  1. IP address.
  2. Browser type and version.
  3. Device type.
  4. Operating system.
  5. Pages visited.
  6. Links clicked.
  7. Time spent on pages.
  8. Referring and exit pages.
  9. Date and time of access.
  10. Error logs.
  11. Cookies, pixels, and similar tracking technologies.
  12. Approximate location derived from technical data.

We use this information to operate the website, protect the platform, understand usage, improve user experience, detect misuse, and support analytics.

3.6. Information from Third Parties

We may receive information about you from third parties, including:

  1. Your employer or organisation, where HRFlix access is provided through an organisational subscription.
  2. Workforce Group entities or authorised affiliates.
  3. CRM, email, learning, analytics, payment, hosting, or platform service providers.
  4. Event partners, referral sources, or marketing partners.
  5. Publicly available business sources, where relevant to client engagement.

4. Organisation Data and User Uploaded Information

In some cases, users or client organisations may upload, submit, or share organisation related data, employee related data, HR documents, policy information, templates, workforce records, survey information, or other materials through HRFlix or connected service channels.

Where a client organisation provides personal data relating to its employees, contractors, candidates, managers, or other individuals, the client organisation is responsible for ensuring that it has the lawful basis, consent, notice, authority, and internal approvals required to provide such data to HRFlix.

HRFlix will process such information only for the purpose of providing the relevant platform service, support, implementation assistance, learning access, reporting, configuration, or related service requested by the client organisation.

Users and client organisations must not upload highly sensitive personal data, confidential employee records, disciplinary records, health data, payroll files, identity documents, or other sensitive information unless such upload is necessary, authorised, lawful, and covered by appropriate safeguards or a separate written agreement.

HRFlix may remove, restrict, delete, or refuse to process uploaded information where we reasonably believe that the information was uploaded unlawfully, unnecessarily, insecurely, or in violation of this Policy, our Terms of Use, or applicable law.

5. Our Role as Data Controller or Data Processor

Depending on the nature of the activity, HRFlix may act either as a data controller or as a data processor.

HRFlix acts as a data controller where we determine the purpose and means of processing personal data, such as when we collect website visitor data, demo request information, marketing preferences, billing records, platform account information, and customer relationship records.

HRFlix may act as a data processor where we process personal data on behalf of a client organisation, such as where the client organisation uploads employee related information, assigns users to the platform, requests learning reports, or uses HRFlix to support internal HR implementation.

Where HRFlix acts as a processor, the client organisation remains responsible for determining the lawful basis for processing and for ensuring that the relevant individuals have been properly informed. Where required, HRFlix and the client organisation may enter into a separate data processing agreement.

6. How We Use Personal Data

We may use personal data for the following purposes:

  1. To respond to demo requests, quote requests, contact enquiries, and support messages.
  2. To create, administer, and manage HRFlix accounts.
  3. To provide access to playbooks, templates, videos, tools, frameworks, and platform resources.
  4. To manage organisation licences, user access, subscription status, and renewals.
  5. To process payments, invoices, receipts, and subscription records.
  6. To onboard client organisations and authorised users.
  7. To support HRFlix community participation.
  8. To provide implementation guidance, service updates, and customer support.
  9. To personalise platform experience and recommend relevant resources.
  10. To measure platform usage, engagement, and resource effectiveness.
  11. To improve HRFlix content, website design, service delivery, and user experience.
  12. To send newsletters, insights, product updates, event invitations, offers, and marketing communications where permitted by law or consented to by you.
  13. To protect HRFlix, users, clients, Workforce Group, and third parties from fraud, misuse, unauthorised access, cyber threats, or policy violations.
  14. To enforce our Terms of Use, client agreements, licence restrictions, and other applicable terms.
  15. To comply with legal, regulatory, contractual, tax, accounting, reporting, and audit obligations.
  16. To manage business transfers, restructuring, merger, acquisition, or similar corporate transactions.

7. Legal Basis for Processing

Where required under applicable data protection law, we rely on one or more lawful bases for processing personal data, including:

  1. Consent:where you agree to receive marketing communications, newsletters, updates, or certain optional services.
  2. Contract:where processing is necessary to provide HRFlix access, manage subscriptions, respond to service requests, or fulfil an agreement.
  3. Legal obligation:where processing is necessary to comply with applicable law, regulatory requirements, tax obligations, audit obligations, or lawful requests.
  4. Legitimate interest:where processing is necessary for business operations, service improvement, platform security, fraud prevention, analytics, client relationship management, and responsible marketing, provided your rights and interests do not override those interests.

 

You may withdraw consent at any time where consent is the basis for processing. Withdrawal of consent will not affect processing already carried out before your withdrawal.

8. Cookies and Similar Technologies

HRFlix may use cookies, pixels, tags, analytics tools, and similar technologies to:

  1. Enable website and platform functionality.
  2. Remember user preferences.
  3. Support login and session management.
  4. Understand website traffic and user behaviour.
  5. Improve content, design, performance, and user experience.
  6. Support marketing measurement and communication effectiveness.
  7. Protect against fraud, unauthorised access, and abuse.

You may be able to disable cookies through your browser settings. However, some features of the website or platform may not function properly if cookies are disabled.

9. Third Party Service Providers

To operate HRFlix effectively, we use trusted third party service providers and technology platforms. These may include learning management systems, payment processors, customer relationship management systems, analytics tools, email automation platforms, hosting providers, communication tools, security tools, and customer support systems.

In particular, HRFlix may use third party tools such as TalentLMS and other service providers to deliver learning content, manage user access, track learning activity, process payments, manage customer relationships, analyse platform usage, send email communications, and improve the user experience.

These third party service providers may process personal data only to the extent necessary to provide their services to HRFlix. We expect such providers to apply appropriate confidentiality, security, and data protection safeguards.

Some of these providers may process or store data outside Nigeria. Where this happens, HRFlix will take reasonable steps to ensure that such processing is carried out in line with applicable data protection requirements.

10. How We Share Personal Data

We do not sell personal data. However, we may share personal data where necessary and lawful, including with:

  1. Workforce Group entities, affiliates, employees, consultants, or authorised representatives.
  2. Your organisation or employer, where your access is provided through an organisation subscription.
  3. Organisation administrators responsible for managing HRFlix access within your organisation.
  4. Service providers that support hosting, platform operations, learning management, payment processing, analytics, email delivery, CRM, security, customer support, and technical maintenance.
  5. Professional advisers, including lawyers, auditors, accountants, insurers, and consultants.
  6. Regulators, law enforcement agencies, courts, public authorities, or other parties where required by law.
  7. Parties involved in a merger, acquisition, restructuring, investment, financing, sale of assets, or similar business transaction.
  8. Third parties where necessary to enforce our Terms of Use, protect our rights, prevent fraud, respond to claims, or protect the rights, property, and safety of HRFlix, Workforce Group, users, clients, or others.

Where we engage service providers, we expect them to process personal data only for authorised purposes and to apply appropriate security and confidentiality safeguards.

11. Organisation Managed Accounts

Where your HRFlix access is provided through your employer or organisation, your organisation may be able to:

  1. Create or approve your user account.
  2. Assign or remove access rights.
  3. View usage, progress, activity, completion, or engagement reports.
  4. Manage subscription access.
  5. Request suspension, deletion, or transfer of your account.
  6. Receive reports related to organisation wide usage and engagement.

If you use HRFlix through an organisation subscription, your use may also be subject to your organisation’s internal policies.

12. International Data Transfers

Some of our service providers, platforms, hosting providers, email tools, analytics providers, payment processors, or technology partners may process personal data outside Nigeria.

Where personal data is transferred internationally, we will take reasonable steps to ensure that appropriate safeguards are applied in line with applicable data protection laws. These safeguards may include contractual protections, technical controls, access controls, and other lawful transfer mechanisms.

13. Data Retention

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to provide services, manage subscriptions, comply with legal obligations, resolve disputes, enforce agreements, maintain business records, improve services, and protect our rights.

Retention periods may vary depending on the type of data, the nature of the relationship, the applicable legal obligation, and operational requirements.

In general:

  1. Account information may be retained while the account is active and for a reasonable period afterwards.
  2. Organisation subscription and billing records may be retained for tax, accounting, audit, and legal purposes.
  3. Marketing preference records may be retained to honour opt out choices.
  4. Support and communication records may be retained for service quality, evidence, and dispute resolution.
  5. Usage analytics may be retained in aggregated or anonymised form for service improvement.

Where personal data is no longer required, we will delete, anonymise, securely archive, or restrict further processing where deletion is not immediately possible.

14. Security

We apply reasonable administrative, technical, and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, disclosure, or destruction.

These measures may include access controls, password protection, secure hosting, internal confidentiality obligations, restricted user permissions, monitoring, backup controls, and other security practices.

However, no internet transmission, website, email, or digital platform can be guaranteed to be completely secure. You are responsible for keeping your login details confidential and for notifying us promptly if you suspect unauthorised access to your account.

15. Your Rights

Subject to applicable law, you may have the right to:

  1. Be informed about how your personal data is processed.
  2. Request access to your personal data.
  3. Request correction of inaccurate or incomplete personal data.
  4. Request deletion of your personal data.
  5. Object to certain processing.
  6. Restrict certain processing.
  7. Withdraw consent where processing is based on consent.
  8. Request transfer of your personal data where applicable.
  9. Object to direct marketing.
  10. Lodge a complaint with the Nigeria Data Protection Commission or another competent supervisory authority.

16. Marketing Communications

Where permitted by law, we may send you HR insights, product updates, webinar invitations, event notices, offers, newsletters, and other communications relating to HRFlix, Workforce Group, or related services.

You may opt out of marketing communications at any time by using the unsubscribe option in our emails or contacting us directly.

Even where you opt out of marketing, we may still send you service related communications, including account notices, subscription updates, security alerts, payment notices, and administrative messages.

17. Community and User Content

If HRFlix provides access to communities, forums, discussion spaces, feedback channels, or collaborative features, any information you post, submit, or share may be visible to other users, administrators, or your organisation, depending on the feature.

You should not post confidential, sensitive, personal, proprietary, unlawful, offensive, or third party information that you are not authorised to share.

We may moderate, remove, restrict, or preserve community content where necessary to enforce our policies, protect users, comply with law, or maintain platform integrity.

18. Children’s Privacy

HRFlix is designed for organisations, HR professionals, business leaders, and adult users. It is not intended for children or persons under the age of 18.

We do not knowingly collect personal data from children. If we become aware that a child has provided personal data without appropriate authority, we may delete such information.

19. Third Party Links and Services

HRFlix may contain links to third party websites, tools, resources, platforms, or services. We are not responsible for the privacy practices, content, security, or policies of third parties.

You should review the privacy policies and terms of any third party service before using it.

20. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, technology, business operations, or data protection practices.

Where changes are material, we may notify users through the website, email, platform notice, or other reasonable means.

Your continued use of HRFlix after an updated Privacy Policy becomes effective means you acknowledge the updated Policy.
